You picked a template that looked sharp in the preview. You filled every box, exported a PDF, and hit upload. The portal didn't error. You won't know until someone opens your profile whether Workday imported your current job or a skill cloud from the sidebar.
That's the gap. Your eyes see columns, color, and icons. The parser sees a text stream it's got to chop into fields. When those two views disagree, you'll get scrambled dates, missing employers, and contact lines that never land in the header.
Tonight's job: figure out which template trap scrambled your file, then fix that one layer without rewriting ten years of experience. You'll know you're done when a plain-text paste shows your name first and each job title still sits above its bullets.

What scrambled upload looks like
The upload button worked. That is what makes this frustrating. You do not get a red error. You get silence, or a recruiter view that does not match what you sent.
Common symptoms after a fancy template hits a portal: skills appear above your name, the most recent job imports as an old internship, dates attach to the wrong employer, or your email line is blank while a decorative header graphic imported fine.
I've opened Workday profiles where the candidate's Canva sidebar dumped twelve skills before the name field, and the recruiter never scrolled far enough to see the current title.
Another pattern: two-column Word templates store left-column contact info after right-column summary text. The parser reads straight down and thinks your summary is your name block.
None of this means you're unqualified. It means the file's stored order and the portal's field map never shook hands. Fix the container first, then worry about keyword tweaks.

Five template traps that break parsing
Each trap leaves a distinct fingerprint in plain text. Match the symptom above to the cause below before you rebuild anything.
Trap 1: Tables and multi-column grids
Marketplace Word and Google Docs templates hide layout in tables. Parsers read row by row, not column by column. Your job title from the left cell lands next to a date from the right cell three rows down.

Trap 2: Text boxes and floating shapes
Canva and Word "insert text box" layers store content outside the main body stream. Contact info in a floating box often imports last or drops entirely in Greenhouse.
Before: Name and title inside a centered text box with a colored banner behind them. Notepad paste starts with a blank line, then Skills.
After: Name, title, email, and phone as plain lines in the body. No shapes, no grouped objects.
Trap 3: Icons, skill bars, and image blocks
Star ratings, progress bars, and headshot circles carry zero extractable text. Worse, some exporters replace skill names with empty glyphs. The ATS sees holes where keywords should be.
Before: Skills row with five filled circles and no words. Plain text shows "● ● ● ● ●" or nothing.
After: Skills section as a comma list or short bullet block: Python, SQL, Tableau, dbt.
Trap 4: Headers, footers, and page margins
Templates love tucking email and LinkedIn into the footer. Many parsers skip footer layers on first pass. You look headless in the database even when the PDF footer looks crisp.
Trap 5: Decorative fonts and special characters
Script headings and custom icon fonts sometimes export as blank squares or mojibake in Taleo. Standard Calibri or Arial for body text is boring on purpose.
Why fancy templates break ATS in major portals
Workday, Greenhouse, Lever, and iCIMS all map imported text into fixed fields: name, employer, title, dates, description. Fancy templates were built for print and human skim, not field mapping. The more design layers you add, the more guesses the importer makes. Guesses become scrambled rows in the recruiter view.

How to tell which trap hit you
Run these three checks on the file you plan to upload. Each one points to a specific fix in the next section.
Check 1: The Notepad paste test
Open the resume. Select all. Copy. Paste into Notepad or TextEdit with no formatting. Read lines one through fifteen aloud.
- Line one should be your name. If Skills or Summary appears first, you have column or text-box disorder.
- Each job block should read title, then company, then dates, then bullets. Mixed order means tables.
- Email and phone should appear in the first ten lines. Missing contact means header/footer or image trap.
- No blank glyph lines or question marks. That flags icon fonts or special characters.
Check 2: Field preview in the portal
Some Workday and Greenhouse flows show a parsed preview after upload. Compare employer names and date ranges to your source file. One wrong row usually means table layout, not a typo in your bullet.
Check 3: Export source comparison

Paste your real bullets under each employer row. Keep section labels in ALL CAPS or Title Case consistently. Do not reintroduce columns to "make it fit."
Fix per cause before re-upload
Match the trap you found to the fix below. One pass beats ten keyword edits on a file the parser still cannot read.

Save two files if you want: Lastname_Resume_Upload.docx for portals and Lastname_Resume_Print.pdf for human-only sends. Never upload the print version to an ATS field.

Keep the designed version for networking email if you want. For Workday, Greenhouse, Lever, and Taleo uploads, export a plain single-column file with no text boxes or icon rows. Run the copy-paste test on that export. If your name is not in the first three lines of plain text, the template is still fighting the parser.
Built-in Word templates with hidden tables still scramble dates and job titles on import. A blank Word doc with standard headings beats a marketplace template with sidebars. Canva exports often flatten contact info into graphics. Either tool works when the stored text reads top to bottom in one column.
