Most ATS imports read like a copy-paste into Notepad: one stream, top to bottom. Plain paragraphs, standard section headers, and hyphen bullets survive. Tables, text boxes, columns, and contact rows trapped in headers get punished on every upload. If it isn't plain text in one column, you're gambling on read order.

Why parsers reward plain text and punish layout tricks

ATS software does not see your margins or font color. It extracts characters in a sequence and maps them to fields: name, employer, title, dates, bullets. When that sequence breaks, the map breaks with it.

Single-column body text is the only layout parsers read reliably. Sidebars, grids, and floating text boxes split the stream. The importer guesses read order. When the guess is wrong, recruiters search Experience and see empty rows.

Checklist 1: Columns and sidebars

Columns are the fastest way to scramble read order. Parsers do not know which column comes first.

  • Delete text boxes used to fake a second column on page one.
  • Turn off newspaper-style column settings in Page Layout.
  • Confirm paste test reads Contact, then Summary, then current job first.

Tables look tidy for aligning dates. Importers read cell by cell and merge fields in the wrong order.

  • Convert experience tables to plain lines: Company, Title, dates on separate rows.
  • Remove skill rating grids with stars or progress bars.

  • Run paste test after flattening. Dates should stay with the right employer.

Checklist 3: Headers, footers, and labels

Creative section names and footer contact rows fail silently. Standard labels parse; clever ones do not.

  • Move phone, email, city, and LinkedIn URL into the document body at the top.
  • Clear header and footer fields in Word under Insert.

  • Keep section headers as plain text, not Word Heading styles nested inside tables.

Checklist 4: Fonts, bullets, and graphics

Decorative elements do not impress parsers. They strip or garble what they cannot map to a field.

  • Use Calibri, Arial, or Times New Roman at 11 or 12 point. Black text only.
  • Replace fancy bullets with a hyphen at the start of each achievement line.
  • Remove logos, photos, charts, and skill icons. They import as blank space.
  • Drop colored text and shading behind section headers.

Checklist 5: File type and export

A broken source file stays broken in PDF. Clean the Word doc first, then export.

  • Save as DOCX from Word or Google Docs. Avoid .pages, .odt, or scanned PDFs.
  • Export PDF from File, not print-to-PDF, when the portal allows PDF.
  • Name the file FirstName_LastName_Resume.docx, not Resume_Final_v7.
  • Re-run paste test on the exact file you will upload.

Step 3: Second paste and portal preview

Save the file. Paste into a fresh Notepad window again. If order holds, upload to a test application or portal preview. Contact fields, job titles, and dates should match what you see in Word.

I've screened Workday imports where a contact table left the email field blank while the PDF showed it clearly in a grid cell. The candidate was qualified. The layout hid the address line from the parser.
