Your PDF looks perfect in Preview. The portal shows Acme Corp Senior Project Manager as one employer name and your real title missing. You're not imagining it, and you're not alone. The importer read left to right across a layout you designed for human eyes, not for field mapping.

US corporate stacks on Workday, Greenhouse, Lever, Taleo, and iCIMS don't merge lines to annoy you. They chunk plain text. When company and role share a row, the database stores one string. Recruiters sort on employer and title fields. Merged rows push you below candidates whose files stayed boring and linear.

You don't need a design degree to fix it. You need a paste test and the willingness to delete pipes, tables, and sidebar boxes that looked sharp in Canva. Most fixes take one export cycle, not a full rewrite of your bullets.

The symptom: one employer field that swallowed your title

You open the application preview and the first Experience row reads like a sentence, not a job. Sometimes the title vanishes entirely and bullets attach to the wrong company. Sometimes every role repeats the same mangled string. The attachment on your laptop still looks structured.

Healthy import looks like this: employer name in the company field, job title in the title field, start and end dates in date fields, bullets nested under that pair. Each past role repeats the same shape. Contact stays at the top as plain lines, not inside a footer band that becomes a fake employer.

Recruiters scan employer and title before bullet three. When those fields merge, tenure math breaks and keyword matches attach to the wrong row. You can meet every listed requirement and still sort low because the parser thinks your current title is a startup name from 2019.

The fix is almost always layout, not rewriting your career story. Parsers read export order. Canva columns, Word tables, and icon headers look polished on screen and scramble in plain text. That's the gap this diagnostic closes.

Contract and consulting resumes trigger merges more often because client names sit beside staffing firm names in table cells. US staffing norms still want the W-2 employer in the company field unless HR told you otherwise. Keep client work inside bullets with dates that match the staffing row.

Remote-only candidates sometimes hide city lines inside title rows to save space. City belongs in contact or on its own line under the title. When city text shares a row with title, importers treat the whole string as company name and drop the real title entirely.

How to stop ATS from merging company and title lines: three causes

Match your paste test to one cause below. Each includes a tell, a layout fix, and before/after pairs from composite US candidates. I've screened stacks of these imports in Workday and Greenhouse, and the file that survives is dull on purpose: one column, one employer block at a time, no decorative separators.

Cause 1: Inline separators on one line

Symptom: Preview shows Acme Corp - Senior Analyst or Company: Acme | Title: Analyst as a single company value.
Tell: Notepad paste repeats the same dash, pipe, or label on one line.
Fix: Break the line. Company alone. Title alone. Dates on the next line or beside title using spaces, not table cells.

Before: Mid-level financial analyst used Acme Capital | Senior Financial Analyst with dates right-aligned in a text box. Greenhouse stored employer as Acme Capital Senior Financial Analyst and left title blank.
After: Three plain lines: Acme Capital, Senior Financial Analyst, March 2021 to Present. Preview populated both fields; tenure calculated from March 2021.

Edge case: consultants listing Client: BigBank on one line. Treat the staffing firm as employer unless the contract explicitly allows client name. Client names on the title line still merge when pipes remain.

Cause 2: Table or two-column experience rows

Symptom: Employers appear out of order or titles attach to the company above.
Tell: Paste test jumps between columns. Left cell company, right cell date, title trapped in a middle cell.
Fix: Rebuild Experience in a single column. Delete grid rows. Use line breaks only.

Before: Registered nurse used a two-column Word template with facility name left and dates right on the same row, title in a shaded band below. Workday read dates first and paired bullets with the wrong hospital.
After: Metro General Hospital on line one, Staff RN Med-Surg on line two, June 2020 to Present on line three. Bullets followed immediately. License number moved under the contact block in plain text.

Edge case: military transition resumes with MOS table plus civilian role beside it. Translate MOS to a civilian title line under the service branch name. Do not rely on a side-by-side table for branch and contractor work.

Cause 3: Header bands and text boxes that read first

Symptom: First Experience row is your phone number or a summary quote. Real jobs shift down or merge.
Tell: Notepad shows contact or summary text immediately before employer names.
Fix: Move contact into the body once. Remove floating text boxes. Keep summary to three lines of plain text above Experience, not inside a sidebar.

Before: Mid-level software engineer placed a GitHub button image and summary pull quote in a left rail. Lever imported the quote as employer and merged the latest title into skills.
After: Plain https GitHub URL in contact. Summary as three lines above Experience. Current block: Northwind Labs, Senior Backend Engineer, January 2022 to Present. First bullet opened with Python in the first eight words.

Before: Marketing coordinator used a Canva icon header with role title icons. Taleo stored Marketing Coordinator as company and duplicated the string as title.
After: Single-column export from Word. Brightline Agency on line one, Marketing Coordinator on line two, August 2023 to Present. Campaign metrics stayed in bullets, not icon callouts.

Prior role block repeats the same three-line header shape. No tables. No pipes between company and title.

Run the paste test after every export. If Notepad shows merged lines, the portal will too. Only then rerun keyword tailoring on bullet one.

What merged-line uploads share

Design-first, paste-never. Candidates trust visual PDF layout and skip Notepad. If paste order is wrong, preview will lie until structure changes.

Separator habits from LinkedIn. Pipes and dashes that look crisp online glue fields in corporate ATS. Line breaks beat punctuation every time.

Chasing keywords before fields split. Adding Python twelve times does not fix a title stored inside the company name.

Reupload loops without a new source file. Some systems keep the first broken parse on your profile. Export a corrected Word doc, paste test, then submit on a fresh req when the portal locked bad data.

Right-aligned date columns. Dates in their own table column often prepend to the next row's company on import. Put dates on the title line with a middle dot or on the line below the title.

Skipping preview panes. Spinner finished is not success. Open preview when Greenhouse or Lever offers it and read employer and title columns line by line.

Confirm fields, then score content

Splitting company and title is step one. Matching the posting is step two. A flat file with weak bullets still loses on rank after import succeeds.
