You're not imagining a glitch. The parser read your layout in an order you didn't intend, and it's not going to fix itself on the recruiter's screen.

Workday is not a PDF viewer. It extracts text into profile fields recruiters scan in list view. Fonts and colors disappearing is normal. Employers pairing with the wrong titles is not.

The standard your file is judged against: plain-text export reads in the same order a human would skim: name and contact, summary if you use one, Experience with Month Year dates, Education, then Skills. Each employer line stays attached to its job title and bullets.

A composite marketing manager whose sidebar skills rail parses first looks like their top job is Google Analytics, HubSpot, and SQL. The real employer line drops to row four. Same person, same career. Different screen because layout drove parse order.

US corporate reqs on Workday often sit behind a preview step or a parsed profile tab. I've forwarded candidates when the PDF was fine but passed when the preview showed a scrambled timeline. The attachment sometimes never gets opened.

Naming Workday is allowed. Claiming how it ranks candidates is not. This teardown sticks to what you can observe: preview order, field mapping, and plain-text export. Fix those and you stop losing qualified screens to layout.

Multi-page resumes add another wrinkle. Page-two headers with your name and phone restart parse loops. Section breaks between Experience and Education can insert blank rows recruiters read as gaps. Keep one continuous flow when you can. If you need page two, don't repeat contact blocks at the top.

Edge case: you're returning to work after a gap and used a functional-style skills section up front. Workday will still read top to bottom. Put a dated contract or consulting line before the skills block so parsers attach tools to a real employer, not a floating list.

Tables flatten into one run-on line or reorder cells left-to-right by row. A data analyst's Looker bullet can end up separated from the employer that used it.

Pair 4: Summary inside a text box

Before: Gray shaded text box floating beside the name block with a three-line summary.
After: Summary as normal body paragraphs under the contact lines, same width as Experience.

Floating objects parse last or drop entirely. A strong summary inside a box may never reach the profile field recruiters skim.

Pair 5: Project manager with icon bullets and columns

Before: Custom wingding bullets, logo watermark, two-column project history with dates in the left margin.
After: Standard round bullets or hyphens. Month Year dates at the start of each employer line. One column, no watermark.

Before: Certifications and ACLS/PALS in a bordered table above Experience. Unit types in a second table beside clinical roles.
After: RN license and ACLS on line two under name. Each hospital role lists unit type and patient ratio in bullet one with Month Year dates.

Before: Med-surg, telemetry, 6:1 ratio; managed acute care patients.
After: Staff RN, Med-Surg/Telemetry, 32-bed unit, 6:1 ratio; precepted 4 orientees and maintained fall-rate below unit average in FY24 at County General.

Pair 7: Software engineer with GitHub link in footer

Before: github.com/handle and portfolio URL in a footer on every page. Skills icons for AWS, Kubernetes, and Terraform in a left rail.
After: github.com/handle on line three under email in the body. AWS and Kubernetes inside bullets under the employer where you ran production traffic, with Month Year dates.

Footers compete with Education for the last parse pass. A recruiter preview may show your repo link as a stray sentence while your current title drops off page two.

Pair 8: Sales resume with quota in a sidebar callout

Before: Right rail text box: FY24 quota 118%, $2.1M closed. Main column lists employers without metrics in bullets.
After: Quota and attainment inside bullet one under the current employer with Month Year dates and CRM named in the same line.

Side callouts detach from employers. Workday may show 118% attainment with no company name attached. Recruiters cannot tell which role earned it.

What scrambled Workday previews still share

Trusting the PDF because it looks fine on your screen. Recruiters may never open it. The parsed profile already buried your current role under Skills.

Repeating contact info in header, footer, and body. Duplicates fight for the same fields. Pick one body block and delete the rest.

Using design templates with invisible tables. Many online resume builders hide grid lines. Workday still reads the grid.

Uploading a scan of a printed resume. OCR guesses characters. Employer names and dates are the first casualties.

Skipping the preview because you're applying on mobile. Wait until you can open the desktop preview once. A scrambled upload is harder to fix after submit on some reqs.

Stuffing keywords into a sidebar after a failed upload. More text in the wrong column makes parse order worse, not better. Flatten first, then tailor bullets.

Assuming every US company configures Workday the same way. Preview steps vary. Plain-text export order is the constant you control tonight.

Leaving section headers creative or cute. My Journey and Where I've Been don't map to Experience and Education in most parsers. Standard labels are boring on purpose.

Applying fixes only to page one. A clean first page with a two-column page two still scrambles the full profile. Scroll the entire doc before export.

Run the export through the free ATS checker with the job description pasted in. You're confirming employer-title pairing and whether skills landed in Experience, not chasing a perfect score.

Then score your job match on the same plain-text order. Keywords only help after Workday can attach them to the right job line. A high match on a scrambled file still loses to a readable lower score.

Both can exist. Many recruiters open the attachment when they want formatting context. Others rely on the parsed profile Workday built on upload. If parsing scrambled your best bullet under the wrong employer, you can lose the screen before anyone opens the PDF. Fix the file for parse order, not only for human eyes.

It fixes most reorder problems from sidebars and skill tables. It does not fix scanned images, password-protected PDFs, or text boxes that float outside the main flow. After you flatten to one column, paste the export into Notepad or plain text and read top to bottom once. That order is what Workday approximates before a recruiter clicks in.
