US hiring runs through the same parser patterns you'll see on Workday, Greenhouse, iCIMS, and Taleo-backed portals. You're not optimizing for a mystery algorithm; you're making sure text imports in order and matches the req's language.
Check your resume for free before you batch apply to US reqs. You'll catch layout issues that European CV habits sometimes import by mistake.
If you only remember four rules, remember the ones below. They're what I wish every US applicant did before click submit.
Quick Wins
- One column, standard fonts, real bullet lists.
- Headline aligned to the US posting title family.
- Paste test into Notepad after export.
What US ATS uploads actually read
They read text in a vertical stream: contact block, experience with dates, education, skills. Graphics, columns, and headers outside the body often drop. US employers rarely expect photos or national ID lines on the resume file itself.
Before: You upload a two-column Europass-style CV to a US tech req.
After: You use a one-column US format with month-year dates and city-state lines recruiters recognize.

Four US ATS optimization rules
Rule 1: Structure before keywords. Fix columns and tables first. Keywords in a scrambled file still land on the wrong employer line.
Rule 2: Title and bullets match the posting. Use the job family's words in the headline and repeat must-have tools in bullets where you used them.
Rule 3: Dates in US style with months. Mar 2022 – Present reads clearer to US recruiters than 03/22 without context.
Rule 4: Paste test every export. If Notepad shows garbage order, the ATS will too.
Copy-paste nightly checklist:
□ Single column, no text boxes
□ Posting title reflected in headline (if accurate)
□ Each must-have tool appears in a bullet
□ Month-year on every role
□ Paste test passed on final PDF/DOCX
Before: You add a keyword block in 8 pt white text at the bottom.
After: You delete the block and move those terms into real bullets recruiters can quote in a screen.
I've seen US files fail for the same reason international candidates succeed on paper: layout choice, not talent. One-column fixes most of it.
Tailor one master US file per job family, not eighty unique layouts. Change headline wording, reorder two bullets, and mirror posting vocabulary. Save versions with employer names in the filename so you do not cross-wire applications.
EEO and disability forms are separate from resume optimization. Answer those portals honestly; they are not places to paste resume text.
How US applications differ from CV habits
Many international formats lead with personal details US employers collect in forms instead of on the resume. Keep the resume focused on work proof. Work authorization questions belong in the application, answered honestly.
US resumes rarely list high school once you have a degree. They do list relevant certifications and licenses with issuer names when the posting requires them.
State names spelled out or abbreviated consistently matter for remote roles tied to payroll location. Match how the posting lists location.
If you're on a visa path, the resume still focuses on qualifications. Work authorization status belongs in application questions unless the posting explicitly asks you to note sponsorship needs in the file.
US-specific mistakes
Including salary history on the resume. Not required and often unwanted. Discuss comp later.
Listing every short contract without dates. US recruiters read gaps and overlap strictly.
Read why ATS can't read columns and icons if you're importing a designed template.
Tools for US applications
Score your job match on each US posting before upload.
Generate a cover letter in plain text when the US portal still has a required letter field.
Optimize for import, then for humans
- Single-column upload file for every US corporate req.
- Posting-aligned headline when your history supports it.
- Must-have tools repeated in bullets, not footers.
- Paste test on the final export before submit.
- Save one master file per job family you target.
US ATS optimization is mostly hygiene: one column, honest titles, tool proof in bullets, clean dates. Do that before you chase keyword lists.
Run a free ATS check on the file you're about to send to your next US req. A five-minute paste test now beats a week of silence after a scrambled upload.

Frequently asked questions
Follow the posting. If both are allowed, test both with a paste into Notepad and submit whichever extracts cleanly. A simple Word file or text-based PDF from Word is usually safer than a design-export PDF.
List the city and state where you'll work or where you're based if you're local. Remote roles may still ask for location for tax bands. Do not use a fake address.
No for most corporate ATS applications. Photos add parse risk and are not expected in US hiring.
One page is fine early career; two pages is normal for experienced hires if every line earns its place. Length matters less than parseable structure and relevant proof.
