Duty-only resumes pass parsers then die on recruiter screens. Three causes, how to tell which is yours, before/after fixes, and a free ATS check.

You're getting silence after uploads and your file still opens with responsible for, managed, and supported across every role. That's duty-only language. Parsers in Workday and Greenhouse sometimes pass it because the verbs tokenize fine. Recruiters ctrl-f for scope, systems, or outcomes in bullet one and close the tab when nothing's there.

Check your resume for free with the posting pasted in. You'll often see keyword matches light up while every dated Experience line still reads like a job description copied backward. The fix isn't adding more duty verbs. It's diagnosing why duty-only resumes get ignored and rewriting the top bullets so proof shows up where screens actually start.

Below you'll see the symptom recruiters recognize in ten seconds, three separate causes, how to tell which one is yours, paired fixes with before/after lines, and what to change tonight. Job searching is draining. This page is organized by cause, not by a generic ten-step checklist.

Quick Wins

  • Replace responsible for in bullet one with a scope number and tool name.
  • Promote your best metric from bullet four to bullet one under your current title.
  • Delete the summary paragraph if it only restates duties already in Experience.
  • Export plain text and confirm your strongest proof line appears before Education.

The duty-only symptom recruiters recognize fast

A duty-only resume describes the job you were hired to do, not what changed because you did it. Every bullet starts with managed, coordinated, responsible for, or supported. Skills may list twelve tools. Month Year dates may be perfect. None of that helps if bullet one under your current title could apply to anyone who held the same title at a different company.

What you feel: uploads succeed, keyword tools look fine, and inbox stays quiet. Sometimes you get an automated rejection in minutes. Sometimes nothing at all. Both happen when the file parses but nobody can forward one sentence of proof to a hiring manager.

What the screener sees: a composite operations coordinator whose top bullet still reads responsible for scheduling and communications while bullet four quietly mentions cutting no-show rates 11%. They may never reach bullet four in Workday on a first pass.

Duty-only is not the same as entry-level. New grads can write shipped 14 client sites in WordPress with Lighthouse 90+ mobile scores. Ten-year veterans can still open with managed cross-functional initiatives. Seniority does not excuse missing scope.

Read why weak bullet points get ignored for the bullet-shape rules this diagnostic builds on. Here we focus on why duty-only resumes get ignored and which cause is yours.

Three causes, how to tell, and the fix for each

Cause 1: You copied the job description backward

How to tell: bullets mirror posting language but swap you in for the company. Responsible for vendor management and stakeholder communication appears under three roles with different employers. No numbers, no systems, no surface area.

Why it fails: parsers tokenize the same verbs the req used, so automated checks look fine. Humans read ten identical duty lines and cannot tell which role actually mattered.

Fix: keep one verb from the posting if you need the keyword, then add scope and proof in the same sentence.

Before: Responsible for vendor relationships and contract deliverables.
After: Owned 8 vendor SOWs worth $1.4M for facilities maintenance; renegotiated 2 renewals down 6% and cut invoice disputes from 14 per month to 3 between Jan and Sep 2024.

Cause 2: Your proof is buried below the fold

How to tell: you do have numbers, but they sit in bullet three or four while bullet one and two are pure duties. Plain-text export shows responsible for before any metric a hiring manager would quote.

Why it fails: recruiter screens are fast. Greenhouse previews truncate. The best proof never earns a second scroll.

Fix: promote the strongest outcome to bullet one tonight. Demote generic duties or delete them.

Before: Bullet 1: Managed customer onboarding. Bullet 4: Reduced time-to-first-value 22%.
After: Cut SaaS onboarding time-to-first-value 22% by rebuilding welcome emails and in-app checklist order for 1,900 new accounts in H1 2025; previously listed as bullet four under the same title.

Cause 3: Tools live in Skills, duties live in Experience

How to tell: Salesforce, Excel, and Tableau fill a footer while every Experience bullet says prepared reports and attended meetings. Keyword matchers cheer. Recruiters ctrl-f the tool inside dated lines and find nothing.

Why it fails: parsers weight employer blocks with dates higher than undated Skills rows in many US corporate setups. Duty-only Experience plus keyword Skills is a split file.

Fix: move the posting's must-have tool into the first eight words of bullet one with what you did with it.

I've screened stacks of these in Workday and Greenhouse: Skills says Jira, bullet one says participated in agile ceremonies. The parser matched. The hiring manager never saw story points, squad size, or release outcomes in a dated line.

Before: Participated in agile ceremonies and updated project trackers.
After: Ran backlog refinement in Jira for a 9-person payments squad; cut sprint spillover from 28% to 11% over 4 releases by splitting epics and tagging dependency risks before planning.

How to tell which cause is yours (60-second test)

Export plain text from your PDF. Read only bullet one under your current role aloud. If it could describe any holder of that title, you are duty-only. Then search the file for a digit. If the first number appears after bullet two, you likely have Cause 2. If Skills lists tools your Experience never names, you likely have Cause 3.

Copy-paste duty-to-proof rewrite skeleton

Copy-paste this skeleton over a duty line: "[Verb] [surface: team, region, or system] using [tool or method from posting]; [outcome: time saved, volume cut, accuracy improved, or revenue protected] by [specific change you owned] across [timeframe or count]."

Example fill: "Rebuilt weekly ops reporting in Excel and Power Query for 6 distribution centers; cut manual consolidation 7 hours per week and improved forecast variance inside 3% for 5 straight months ending Aug 2024."

Edge case: military or title mismatch

Translate role function, not MOS code alone. Duty-only lines like performed duties as assigned die in corporate screens. Lead with squad size, equipment value, training count, or readiness metric in civilian verbs.

Before: Served as team leader and completed assigned missions.
After: Led 11-person logistics team moving $2M in sensitive equipment; cut load-out errors to zero across 14 deployments between 2021 and 2024 through checklist standardization adopted by two sister units.

Edge case: career break returning to market

Do not fill gap years with duty-only volunteer lines. One dated volunteer role with scope beats three bullets that say helped with events.

Before: Volunteered at food bank and assisted with daily operations.
After: Volunteer Logistics Lead, Regional Food Bank (Jun 2024 to present): redesigned intake labeling for 3 warehouses; cut mis-sorts 16% and trained 12 weekend volunteers on the new scan workflow.

Patterns that keep files duty-only

Summary paragraphs that repeat Experience duties. Dynamic professional with excellent communication skills adds zero proof. Delete it or replace with one line that names scope and a metric from bullet one.

Responsible for as a crutch verb. It signals you never finished the thought. Swap for owned, rebuilt, cut, launched, or closed with a number attached.

Meeting attendance listed as work. Attended standups and status meetings is not a bullet. If coordination mattered, name decisions accelerated or blockers cleared with a count.

Keyword stuffing Skills to compensate. Forty tools in a footer cannot rescue duty-only Experience. Move three must-haves from the posting into bullet one instead.

Identical bullets across roles. When three employers share the same managed projects line, recruiters assume none of them are true. Tailor at least bullet one per job block.

Chasing more applications before fixing bullet one. Volume on a duty-only file multiplies silence. Rewrite two bullets, then upload again.

Treating soft skills as substitutes for proof. Excellent communicator and team player without a single system name or count still reads duty-only. Swap one adjective line for a scope number tonight: tickets handled per week, accounts owned, or sites supported.

Duty-only language is fixable without rewriting your whole career story. Most screens die on bullet one and bullet two under the current title. Fix those two lines, export plain text, and confirm the first digit appears before Education. That single check catches buried metrics faster than another template download.

Confirm proof parsed where screens start

After you rewrite top bullets, run the same PDF against the req on your screen. You are checking whether must-have tools and outcomes appear inside dated Experience text, not only as duty verbs or Skills tags.

When matches still light up only in Skills, move those terms into bullet one under the employer where you used them. When duty verbs remain in parsed text, replace responsible for with scope and a digit in the same line.

Run a free ATS check with the description pasted, then score your job match after you promote buried metrics to bullet one.

Rewrite bullet one, then upload again

Duty-only resumes get ignored because recruiters cannot quote one line of proof to a hiring manager. Parsers were never the whole gate. Bullet one is.

Open your file tonight. Pick the cause that matches: copied duties, buried metrics, or split Skills and Experience. Promote your best number to bullet one. Export a single-column PDF and check your resume for free before you send another batch. When a portal asks for a letter, generate a cover letter that repeats the same figure from bullet one, not a third paragraph of duties.

This won't fix applying to roles where you lack must-have scope. It does stop qualified candidates from losing to files that list every tool in Skills while responsible for still opens bullet one.

And if you've been adding applications without touching bullet one, pause volume. Two rewritten lines beat forty duty-only uploads this week.

Frequently asked questions

Any line that describes what you were supposed to do without scope, tool, or outcome proof. Responsible for customer service, managed projects, and supported leadership are duty-only. Parsers may still tokenize the verbs. Recruiters ctrl-f for numbers, systems, or surface area and find nothing they can forward to a hiring manager in one sentence.

Sometimes, if keywords from Skills or a copied job description appear somewhere in the file. Passing the parser is not the same as surviving a recruiter screen. A duty-only file can show green keyword matches while every dated Experience line still reads like a job posting pasted backward.

Rewrite bullet one and bullet two under your current role tonight. Pull one scope number, one tool or method from the posting, and one outcome you can defend from email, a retro, or a dashboard. You do not need to rewrite ten years of history to stop looking duty-only on the first screen.

Replace them, do not just delete. Supported, assisted, and helped are fine as secondary verbs if the line still carries scope and proof. Write supported QBR prep for a 12-person sales org by building pipeline Tableau views that cut deck prep from 4 hours to 40 minutes instead of supported leadership with reporting.

Bullet one under the current title, the summary paragraph, and undated volunteer blocks parsers weight low. Promote your strongest metric from bullet four to bullet one before you add new keywords to Skills. Duty-only summaries are the second most common skip after duty-only top bullets.
