You're about to hit submit on a role you actually want. The portal says optional cover letter, required resume, and a green upload button that doesn't warn you when the parser mangled your dates. That's where a US ATS checklist saves you. You don't need an hour. You need four checks you can run in thirty seconds before the file lands in Workday or Greenhouse.
Most rejections I've seen aren't mystery algorithms punishing qualified people. They're boring parser failures: two-column layouts read out of order, phone numbers trapped in a header, PDFs with text the system can't extract. The candidate never gets a rejection email. The profile just looks empty on the recruiter side.
Before you upload again, check your resume for free with the posting pasted in. This teardown judges weak drafts against one bar: file type the portal accepts, single-column body text, contact lines the parser can import, and one posting keyword in the first eight words of bullet one under your current role.
Job searching is already draining. You don't need a pep talk. You need a cut list you can run with the timer on your phone while the upload page is still open.
Quick Wins
- Save as DOCX unless the posting demands PDF.
- Collapse to one column. Delete sidebar skill bars and icon rows.
- Move phone and email out of headers into line two of the body.
- Put one posting keyword in the first eight words of bullet one.
What a US ATS checklist catches in 30 seconds
A US ATS checklist isn't a keyword hunt. It's four parser checks that decide whether Workday imports your Experience section with dates attached to the right employer. Recruiters open profiles where name, phone, and job titles landed in the right fields. When those fields are blank, they move on.
Judge every draft against this stack. File type the portal accepts on the first try. Single-column body text with standard section headers. Contact lines in the main document, not a header block. One posting noun in the first eight words of bullet one under your current employer. Month Year dates on every role line.
US employers on iCIMS, Taleo, Lever, and Greenhouse don't all behave the same, but column order failures show up everywhere. The parser reads left to right. When your sidebar Skills column sits left of Experience, job titles import under Education and your phone number vanishes.
Read PDF vs Word resume for ATS when the portal forces a format choice. This page stays on the four-pass audit you run while the upload tab is still open.
Edge case one: government and university portals sometimes cap file size at 500 KB. Export DOCX, don't embed photos, and skip custom fonts. Edge case two: when a posting says paste your resume into a text box, keep the same single-column plain text. Tables paste as gibberish rows.
Before/after pairs: four parser checks across roles
Each pair keeps the same candidate facts. The after version passes the US ATS checklist because file type, layout, contact lines, and bullet-one keyword placement match what US parsers read first.
Marketing coordinator, two-column Canva export
Posting searches email campaigns, HubSpot, and A/B testing for a US remote brand team.
Before: Canva two-column PDF with coral sidebar listing Skills icons. Phone number in a footer. Experience bullet: Managed marketing projects with stakeholders.
After: Single-column DOCX. Line 2: [email protected] · 503-555-0142 · Portland, OR. Bullet one: Ran HubSpot email campaigns with A/B tests that lifted click-through 14% in Q2 2025 for a 40k-subscriber list.
Software engineer, skills cloud above Experience
Posting wants Python, AWS, and CI/CD on a platform team using Greenhouse.
Before: Skills section pastes 24 technologies in a three-column table above Work Experience. Bullet: Worked on backend services.
After: Skills line: Python, AWS, GitHub Actions. Bullet one under current role: Built Python microservices on AWS with GitHub Actions pipelines; cut deploy time from 42 minutes to 19 minutes for three production services.
Registered nurse, contact trapped in Word header
Posting requires Epic, ACLS, and med-surg experience for a hospital system on Workday.
Before: Name and RN license in body. Phone and email inside Word header the parser skips. Bullet: Provided patient care on busy unit.
After: Line 1: Maria Santos, RN · Line 2: [email protected] · 612-555-0198 · Minneapolis, MN. Bullet one: Delivered Epic charting on 32-bed med-surg unit; precepted four orientees while maintaining ACLS-ready response on shift.
Account executive, inconsistent date formats
Posting searches Salesforce, pipeline management, and enterprise SaaS quota attainment.
Before: Role one uses 01/2022-03/2024. Role two uses March 2024 to Present. Role three uses 2020 only. Salesforce mentioned once in Skills.
After: Every role uses Month Year: January 2022 to March 2024, March 2024 to Present, January 2020 to December 2021. Bullet one: Managed Salesforce pipeline for 22 enterprise accounts; closed $1.8M ARR in FY 2024 against $1.5M quota.
Customer support lead, scanned PDF upload
Posting wants Zendesk, CSAT, and WFM adherence for a US fintech support org.
Before: Phone photo of a printed resume saved as PDF. OCR garbles Zendesk as Zendeck. No searchable text layer.
After: DOCX export from Word with plain bullets. Bullet one: Led Zendesk queue for 18 agents; held CSAT 96% and WFM adherence 98% through Q3 2025 escalation redesign.
Data analyst, keyword block in Skills footer
Posting lists SQL, Looker, and stakeholder reporting for a US retail analytics team.
Before: Skills footer repeats SQL eleven times plus soft skills like team player and fast learner. Experience bullets say analyzed data.
After: Skills: SQL, Looker, Excel. Bullet one: Built weekly churn dashboards in Looker with SQL pulls; cut reactive support tickets 11% in Q3 2025 after stakeholder readouts.
Edge case: career break with contract roles
Before: Gap labeled Career Break with no dates. Two contract roles listed without employer names.
After: Career Break | January 2023 to June 2023 | Family care. Contract Business Analyst | RetailCo | July 2023 to December 2023. Bullet: Documented order-to-cash gaps in Jira for US fulfillment team; shipped three process fixes before holiday peak.
Edge case: internal title vs posting title
Employer called you Implementation Specialist. Posting says Customer Success Manager.
Before: Implementation Specialist with no customer success string anywhere.
After: Customer Success Manager (Implementation Specialist) | SaaSCo | 2022 to Present. Bullet one uses onboarding, retention, and the posting's CRM tool in the first eight words.
Copy-paste block: 30-second US ATS audit
- File type saved as: ___ (DOCX / text PDF / other)
- Columns in body: ___ (must be one)
- Phone + email on body line 2: yes / no
- Section headers standard: Work Experience, Education, Skills
- Date format uniform Month Year: yes / no
- Posting keyword in first 8 words of bullet one: ___
- Tables, icons, text boxes removed: yes / no
- Upload portal: Workday / Greenhouse / other ___
Run the four checks in order. Don't jump to keyword tweaks until layout and contact lines pass. A keyword-stuffed file with a two-column sidebar still imports wrong in Taleo even when the Skills cloud looks impressive on your screen.
When bullet one still reads Responsible for daily tasks after the layout fix, swap the verb and tool from the posting. That move belongs in the same minute as the audit, not a separate rewrite session tomorrow.
What weak US uploads share before anyone reads bullet two
Two-column templates. Sidebars look sharp on PDF. Parsers read them first and attach Skills labels to the wrong employer. Fix: one column, tools spelled inside Experience bullets.
Contact info in headers or footers. Workday often imports blank phone fields when contact sits outside the body. Fix: plain text on lines one through three above Summary or Experience.
Design PDFs without a text layer. Canva and Illustrator exports look clean and parse empty. Fix: DOCX from Word or Google Docs, then export PDF only if required.
Keyword blocks divorced from dates. Repeating SQL in Skills without a dated bullet does not attach the skill to a job line. Fix: one metric bullet under the employer where you used the tool.
Mixed date formats. 01/2022 beside March 2024 beside 2020-only lines confuse parsers and recruiters. Fix: Month Year everywhere, en dash or to between dates.
Skipping the audit after tailoring. Swapping keywords often reintroduces a table from an old template. Fix: run the same four checks before every upload, not just the first application of the week.
Read how ATS matches resumes to job descriptions when you pass the checklist but still wonder which terms the portal weights after import.
Run the checker after the four-pass audit
Upload your DOCX and the posting to HireFlow's free ATS resume checker . You'll see which posting terms still miss from Experience after layout and contact lines pass the US ATS checklist.
When the portal accepts a cover letter, use the free cover letter generator with the same job description. Repeat the metric from bullet one and the exact title string. Don't introduce tools the resume cannot support in a dated line.
Do this now: Collapse to one column, move contact lines into the body, put one posting keyword in bullet one, then run the checker before you click submit.
Tonight's upload cut list
A US ATS checklist before submitting isn't about perfect formatting. It's about four parser checks that decide whether your dates and phone number import before a recruiter opens the profile. Run them with the upload tab open and fix layout before you tweak keywords.
- Save DOCX unless the posting forces PDF.
- Collapse to one column and delete icon skill bars.
- Move contact lines into the body on lines one through three.
- Uniform Month Year dates on every role.
- One posting keyword in the first eight words of bullet one.
Open the role you want most. Run a free ATS check , fix the first failed parser check, and send one clean upload. That's the whole 30-second audit before submitting.

Frequently asked questions
Yes, if you limit the scan to four parser checks: file type, single-column body text, contact lines in the main document, and one posting keyword in the first eight words of bullet one. You are not rewriting the whole resume in half a minute. You are catching the upload killers that scramble dates and drop phone numbers before a recruiter opens the profile.
Start with DOCX when the portal allows it. Most US employers on Workday and Greenhouse parse text layers reliably from Word. Export a text-based PDF only when the posting demands PDF or when Word upload fails once. Never submit a design PDF exported from Canva with icons the parser cannot read as text.
Put name, phone, email, city, and state on line one through three in the main body. Headers, footers, and text boxes often import blank in Workday. Spell email and phone as plain text, not as a clickable icon strip. LinkedIn URL is fine as a full https line when the posting asks for it.
The checklist stops parser failures, not qualification gaps. A clean single-column file with contact lines in the body still needs posting keywords in dated Experience bullets. Run the checker after the four-pass audit when you want to see which terms still miss from bullet one.
Run the same four checks every time you swap keywords or export a new PDF. Tailoring often reintroduces a second column, a table, or a header block copied from a template. Thirty seconds before each upload beats a silent rejection you never see.
