You already passed the tests or you're racing a 30-day window. What still kills the file is layout: credential tokens buried under a university name while your real classroom days sit in a skills list.
Before you upload to a county portal tonight, check your resume for free against the sub-pool posting. A polished template that hides permit status still fails the same parser a full-time teacher req uses.
They're not grading your bulletin boards from a PDF. They're checking whether Workday can see you're cleared to walk into a room tomorrow.
So you'll type permit, exams, and clearance like hiring facts, not like footnotes to your bachelor's. Sub pools move fast. Your file should too.
Do these three things first
- Header line: permit type, expiration or active, CBEST or CSET if passed, clearance status with month submitted.
- Move classroom days into dated Experience bullets with grade band and school type.
- Single-column PDF, then run the posting through the free checker before Apply.
Permit status beats a biography of every club you joined
County offices, charter networks, and unified districts all run different payroll systems. They share one gate for subs: can we legally send you to a classroom this week?
The parser hunts credential tokens before it cares about your GPA.
Permit type is emergency substitute, 30-day substitute, or a full credential if you already hold one. Exams are CBEST and any CSET the grade band needs. Clearance is live fingerprint status, not a vague background check done.
I've screened teacher stacks in Workday and district portals, and the sub files that stall hide a 30-day permit inside Education next to a 2018 dean's list line.
California hiring is credential-forward. A paragraph that lists BA, single subject coursework, and substitute interest in one blob often parses as one undated school entry. The scheduler never sees that you covered 40 days last spring.
Classroom proof belongs under dated roles: long-term sub, day-to-day sub, paraeducator with release time, student teacher with master teacher named. "Love working with kids" in a summary is not a schedule.
And grade band matters. Elementary, middle, and high school subs are different labor pools. Type the bands you accept so a middle school assignment doesn't ping you for kindergarten art.
Confirm permit rules on the Commission on Teacher Credentialing substitute requirements page before you title yourself credentialed. Type what the lookup shows, not what a friend said at a job fair.
Charter networks often ask for SEL language and tech comfort in the same breath. Name the platforms you already used in district assignments, not every app you tried once in a workshop.
If you subbed through an agency, list the agency as employer with schools in bullets. HR knows agencies exist. They need site names to verify you handled real bell schedules.
This won't invent a permit you don't hold. It stops a cleared sub from looking inactive because the PDF never said active.
Build a Substitute Teacher Resume California Workday can parse
Put permit, exams, and clearance above Education
Open a single-column DOCX or PDF. 11-point Calibri. No tables. Contact, credential block, Experience, Education, certifications if any.
Copy-paste this header. Edit every bracket. Delete lines you cannot prove.
Copy-paste California sub header
[Full name]
Substitute Teacher · Grades [bands you accept]
California [emergency / 30-day / full] substitute permit · [Active or expires Month Year]
CBEST passed [Month Year] · CSET [subject] passed [Month Year] if applicable
Livescan clearance: [Cleared Month Year / Submitted Month Year pending]
[email] · [phone] · [City, CA]
The California Department of Education site links county offices. If the county asks for a sub ID, add it as one plain line. Do not hide it in a cover letter only.
Edge case: You're on a 30-day permit while finishing a credential program. Say so in the header. Date your student teaching as Experience with the master teacher and site. Do not list the classroom as a volunteer line with no dates.
Turn classroom days into dated jobs
Schedulers hire people who already ran a room. A bullet list of hobbies under Education looks like college. A sub role with Month Year dates looks like labor they can book.
Day-to-day substitute, unified district
Before: Education: BA English, 2022. Skills: classroom management, Microsoft Office, flexible schedule.
After: Experience: Day-to-Day Substitute Teacher | Riverside Unified | Riverside, CA | August 2025 to Present. Covered 22 assignments across grades 6 to 8; followed posted lesson plans in 18 of 22 rooms with written notes left for regular teachers. Managed transitions for combined classes up to 34 students using school-wide behavior matrix.
Paraeducator moving into sub pools
Before: Para Professional. Helped teachers. Good with special needs students.
After: Paraeducator | Oak Grove Elementary | San Jose, CA | January 2024 to June 2025. Led reading groups of 6 students daily under teacher lesson plans; took primary supervision for recess and lunch for 90 students on 3 scheduled days per week.
Long-term sub assignments get their own line with the teacher you replaced and subject. That line sells you for maternity covers HR actually posts.
Edge case: Retired teacher returning for sub work. Lead with retired [subject] teacher, then the substitute permit you renewed. Date the retirement and the return. Districts pay different rates; the parser still needs current permit text.
Mirror the portal fields in plain text
Many California districts use Workday, Frontline, or EdJoin-style flows. Whatever the brand, the fields repeat: legal name, credential number, expiration, subjects, clearance date.
Type credential numbers the way the state lookup displays them. Month Year on clearance submission. If you're pending, say pending with the month you fingerprinted. Honest pending beats silent gaps that look like a denial.
Pair this with Workday resume format that parses cleanly if the district HR page names Workday explicitly.
Skills lists should repeat tools you used in bullets: Google Classroom, Seesaw, Infinite Campus attendance, restorative circles. If the skill never appears under a dated job, cut it.
Availability belongs in plain text when the posting asks: willing to work daily calls, long-term covers, or SPED inclusion rooms. Do not promise 7 a.m. pickups in a summary if you cannot take them. Schedulers remember no-shows more than fancy fonts.
Substitute pay varies by county and assignment length. Your resume is not the place to negotiate rate. It is the place to prove you show up prepared with lesson-plan notes and attendance taken.
If you hold bilingual skills, put the language in the header when the district runs dual-language programs. Follow with one bullet where you delivered instruction or family communication in that language.
Keep the letter to credential plus one classroom proof
Sub cover letters fail when they retell why you love education. The scheduler has 200 openings. Name the permit, name the grades you'll take, tie one bullet to their county's needs, then stop.
Copy-paste skeleton: "Applying to the [County/District] substitute pool with an active California [permit type] and CBEST cleared. Last assignment: [grade band] at [school] with [one concrete routine]. Available [days] and cleared through [month]."
Draft structure with the cover letter generator, then paste the same credential lines from the resume header so the packet agrees.
Edge case: Multi-county applicants. One master resume, one PDF per portal if they ask for different grade bands. Do not spam one generic file that says K to 12 unless you'll truly take any call at 6 a.m.
Where sub files quietly fail California pools
Two-column templates with a photo column. Parsers read across and mash permit numbers into phone digits. One column. One order.
Calling yourself credentialed on a 30-day emergency path. Use the permit name the CTC page uses. Misnamed credentials trigger manual rejects.
Burying clearance in a hobbies section. Livescan status is hiring data. Put it with permits.
Student teaching listed only under Education. Move it to Experience with dates and supervising teacher unless you're still enrolled with no classroom start.
Applying to high school reqs with only elementary bullets. Match the band or say both with proof for each.
Expired permit with no renewal line. Update the header the week CTC shows the new expiration. Schedulers treat expired like unavailable.
Uploading a teaching portfolio link with no text resume. Portfolios help art and CTE subs after you're in the pool. The ATS still wants a parseable PDF with permit lines typed.
Listing every sub day as a separate job line. Group by district or agency with Month Year ranges. Micro-jobs confuse parsers and make you look unstable instead of busy.
Job searching is hard, especially when assignments start at dawn. None of this discounts your classroom time. It makes sure the portal can book you.
Match the portal before you drive to a site
Upload the PDF you'll submit and run the free ATS check against the county posting. Fix permit lines and dated classroom bullets before you pay for another livescan because the file looked inactive.
If the pool wants a short letter, use the cover letter generator and keep credential text identical to the resume header.
Line up permit and clearance tonight
You can love teaching and still lose the pool on formatting. A Substitute Teacher Resume California wins when permit type, exams, and clearance parse before your GPA story.
Type the header. Date the classroom days. Drop the two-column template. Save a plain DOCX backup if the portal strips PDF formatting on upload.
Then answer the phone when the automated sub caller rings. The districts that need you today are not waiting on a prettier font. They need a file that says you're cleared, tested, and already ran a room last month.
When you get a site interview, pair this with smart questions to ask at the end of a US interview so you learn how that district actually treats subs.
Frequently asked questions
Yes. Type the credential the district asked for: emergency substitute permit, 30-day substitute permit, or full credential if you hold one. Add expiration or active in plain text. Do not bury the line inside a paragraph under your bachelor's degree. Applicant portals copy header fields before a principal ever opens the PDF.
Put passed exams on their own line near credentials: CBEST passed, CSET subject area if required for the grade band you want. Month Year if you have it. Do not list every practice test. One line per exam the posting names beats a skills cloud that says testing.
Lead with retired classroom teacher plus the substitute permit or credential you renewed. Date the last district assignment. Put clearance as cleared or pending with the month you submitted fingerprints. Retired pay scales differ, but the parser still needs a current permit token.
You can, if the district accepts your permit path and you prove supervised classroom hours. Title the role paraeducator with dates, school, and grade band. Bullets should name routines you ran alone: attendance, small groups, behavior plans. Do not retitle the job substitute teacher without a permit that matches.
