Resume checklist before you apply: run the paste test and free ATS check before you open the portal, then upload once. Six ordered steps for Workday and Greenhouse.

You wouldn't send a contract without reading page one. But most people upload a resume, then notice the dates landed in the wrong field. They didn't miss a typo. They skipped the parse pass.

That's backward. The portal stores whatever the parser saw first. Your job tonight is to force the file to fail on your desktop, not inside Workday. If you're tired, that's normal. The order still matters.

Start with a check your resume for free on the exact export you'll attach. If employers come back out of order, don't open the apply link until the layout is boring and single-column.

Job searching is draining. A parser miss feels personal when it isn't. This won't fix applying five levels above the posting. It stops a qualified file from dying because you checked grammar after upload instead of reading order before upload.

Quick Wins

  • Save today's dated copy before you touch the apply button.
  • Paste all text into Notepad and read employers top to bottom.
  • Run the checker with the portal tab closed.
  • Upload only after preview fields match your on-screen resume.

Why a resume checklist before you apply needs a fixed order

Long checklists fail because they treat spelling and parsing as the same task. They're not. Typos annoy a human. Column layouts cause the ATS to attach your current title to an old employer.

Parse first, portal second. If you proofread on screen while the upload already ran, you're polishing text the system never stored under the right job block.

Workday, Greenhouse, Lever, Taleo, and iCIMS all extract fields before a recruiter opens your PDF. Matching runs on that extracted text. A keyword in a sidebar the parser skipped might as well be missing.

I've screened stacks of these in Workday and Greenhouse, and the file that moves forward is usually plain: one column, standard headings, dates on their own lines, nothing trapped in a header band.

Fifteen bullet points on a sticky note still leave you guessing what to do first. Six ordered steps below mirror how parsers read: file version, paste test, checker pass, posting alignment, human proof, then upload with preview.

Headers and footers are a common silent fail. Double-click the top margin in Word. If your email only appears in a header band, copy it into the body on line one and delete the header copy before you paste into Notepad.

Tables used for spacing look fine on screen. Parsers read across the row. Convert borderless grids to plain paragraphs so your current role does not inherit bullets from a job three years ago.

Resume checklist before you apply: six steps in order

Do not open the employer careers site until step three passes. That single rule is what separates this checklist from a proofreading list you run after midnight.

Step 1: Lock one file version

Save As with today's date in the filename: FirstName_LastName_Resume_2026-10-09.docx. Close every older tab labeled "resume final FINAL."

Before: Three downloads open and you're not sure which one has the tailored summary.
After: One dated file on your desktop that every step below uses.

Step 2: Run the Notepad paste test

Select all, paste into Notepad or TextEdit, read aloud. If your MBA line sits between two job bullets, that is the order the parser received.

Before: Two-column template with skills in a right rail.
After: Single column. Each role block is employer, title, Month Year dates, then bullets.

Copy-paste contact block for page one if yours still lives in a header zone parsers skip:

[Full name] · [City, ST] · [phone] · [email]
[Target title] · [Core skill from posting]

Step 3: Scan with the checker before the portal

With the application URL still closed, run the free checker on the same file you will attach. Fix missing employers or sections before you celebrate clean spelling.

If the checker shows a gap where a role should be, flatten the table or header behind that row, then scan again. Keywords cannot attach to jobs the parser never found.

Step 4: Align Experience bullets to the posting

Open the job description beside your file, not beside the upload form. Highlight three required skills. Rewrite the first bullet under your current job so one skill appears in the first eight words.

Illustrative bullet template (numbers describe a sample role, not hiring outcomes):

Before: Responsible for reporting and stakeholder updates.
After: Built weekly KPI dashboards in Looker, cutting ad-hoc report requests 11% in Q3.

Mirror the posting's tool names once in Skills and once in a bullet. Do not paste the whole skills paragraph from the ad into a text box.

Step 5: Proof contact lines, dates, and filename

Tap the phone number. Send a test email from the address on line one. Confirm every role has Month Year dates that match what you'll type into knockout questions later.

Read slowly for transposed digits in graduation years. Those typos survive spell-check and break trust in preview mode when dates disagree with dropdown answers.

Step 6: Upload, read preview, then submit

Now open Greenhouse, Workday, or whichever ATS the company lists. Upload the checked file. If parsed fields appear, confirm current employer, title, and end date imported.

Answer authorization, location, and years-of-experience questions while looking at your Experience section, not from memory. Submit once preview matches the file in step one.

When preview is hidden, compare checker output to your on-screen resume line by line. Every employer on page one should appear with a start month before you click submit.

Save the checker screenshot with the dated filename if you're batching three applications in one night. When the second upload looks wrong, you can compare files instead of guessing whether the portal or the layout caused the miss.

Optional edge case: some portals ask you to paste resume text into a box after upload. Run the paste test on that pasted text too. If the box strips bullets, rewrite plain lines with hyphens so dates stay attached to employers.

Checks people run after the portal already stored the file

Each habit below feels responsible. It just runs in the wrong order, so the ATS keeps the broken version while you fix typos on a copy nobody scored.

Before: Upload first, then run spell-check in the portal text boxes.
After: Paste test and checker on the attachment before any upload.

Before: Tailor keywords in the application form while the resume file stays generic.
After: Match the posting inside Experience bullets on the file you attach.

Before: Assume a pretty PDF equals a clean parse.
After: Trust Notepad reading order and preview fields over visual design.

Before: Re-upload five times with small wording tweaks.
After: One structural fix, one checker pass, one upload with a dated filename.

If you're applying in the US and want role-specific before/after teardowns after this pass, that's a different step. Use the final review guide in Read More rather than repeating those examples here.

Another late check is swapping to a "prettier" PDF after the DOCX passed the checker. Treat that PDF as a new file. Re-run the paste test if you change export format, font embedding, or design tool.

Test the file before the portal eats it

The six steps tell you what to change. The checker shows whether employers and dates survived extraction on the file you hold. Run it on the attachment, not on an old export sitting in your downloads folder from last month.

Parsers do not care that you fixed a bullet yesterday if today's upload uses yesterday's two-column file. Date the filename every time you change layout so step one stays honest.

Check your resume for free on the DOCX or PDF from step one. If a role vanishes, return to step two and kill the table behind that row before you open the careers site.

When the posting is narrow and you're unsure which bullets to keep, score your job match against the description, then rewrite one bullet the score flags as missing. If the posting requires a letter, generate a cover letter after the resume file passes step three so both attachments tell the same story.

One upload, one checked file

Tonight: dated copy, paste test, checker with the portal closed, one tailored bullet, contact proof, upload with preview. Store that plain file and reuse it for every application this week until you change roles.

  • Do not open the apply link until step three passes.
  • Name the file with today's date so you never reattach an old layout.
  • When preview and checker disagree, fix layout and trust preview.

Open the posting one more time. Run a free ATS check on the attachment in your hand, fix whatever is missing, then submit once the parsed fields match what you see on screen.

Frequently asked questions

Run it before you open the employer site. The paste test and free checker read the file on your desktop. Once Workday or Greenhouse ingests a broken layout, you are fixing a stored profile, not a Word doc. Close the portal tab until steps one through five are green.

Plan twenty minutes when the file is already tailored. Five minutes for paste test and checker, ten for posting alignment and proofreading, five for upload preview and knockout answers. Mass applying without the parse pass wastes more time than the checklist takes.

Use DOCX when the posting allows it and your resume is a single column built in Word. Use PDF when the employer blocks Word or you have confirmed selectable text. Run the same format through the checklist that you will attach. Switching formats after the checker pass resets the test.

Trust the preview over the checker when they disagree. Blank employer fields mean layout still broke parsing. Go back to step two, flatten tables or headers, re-run the checker, then upload again. Do not submit hoping a recruiter fixes the import.

Yes. This page is the general pre-submit order: parse test and checker before any upload. For a US-specific final pass with role teardowns and knockout answers, use the final review guide linked at the bottom. Run this checklist first, then that page when you are down to one posting.
