US ATS application checklist for SuccessFactors: paste-order tests, merged-line fixes, before/after parsing pairs, and field mapping before you submit.

SuccessFactors didn't reject you for missing a keyword. It isn't a keyword gap when lines merge. It merged your employer line with your title, dropped phone from the header, and mapped three jobs into two rows. A US ATS application checklist for SuccessFactors starts with paste order and field mapping, not with a new template color.

Scan your resume for free on the export you'll attach, then walk the checklist below before submit. If Notepad paste scrambles blocks, the preview screen will too.

Below: the standard each example is judged against, before/after parsing pairs across roles, what weak uploads share, and a copy-paste block. Minimal theory. Maximum fixes you can run tonight.

You're not alone if the PDF looked perfect and the SuccessFactors profile preview looked empty. That's a mapping problem, not a fit problem. Fix extract order first, then worry about keyword match.

And don't trust auto-fill from an old profile if you're applying to a new division. Re-upload when the req asks for a fresh file. Stale mapped rows linger in some tenants until you overwrite them.

This checklist won't replace reading each required field label. It will stop the merged-line failures that waste an hour of apply time when the resume was already strong.

If you've never opened SuccessFactors before, expect extra required fields that aren't on your resume. Work authorization, veteran status, and referral source don't belong in Experience, but empty required gates block submit while your resume sits ready.

You'll save time if you fix paste order on desktop before starting a long mobile session. I've watched candidates lose mapped rows when a phone browser refreshed mid-flow.

Quick Wins

  • Paste into Notepad first. Employer, title, dates on separate lines.
  • Retype phone and email in portal fields even if they're in the header.
  • Preview mapped rows before final submit.
  • One employer block per paste when the flow uses manual fields.

The standard: separate blocks the parser can map

Passing uploads share four traits: single column, employer/title/date each on its own line, contact data typed into application fields, and bullets that start after a blank line under dates.

Failing uploads merge those blocks with tabs, icons, or sidebar layouts that look fine in PDF and break in preview.

SuccessFactors tenants at large retailers, manufacturers, and healthcare systems all map Experience into relational rows. When extract sends one string where four fields belong, keyword search attaches bullets to the wrong employer or drops them entirely. You experience that as silence after submit even with strong scope.

The checklist below isn't generic ATS advice rebranded. Each pair reflects merged-line or header-drop patterns that show up more often in SuccessFactors preview than in plain Workday upload flows.

Large US employers often run custom SuccessFactors screens. Required fields vary by division. The standard still holds: extractable text blocks map to rows. Fancy layout breaks mapping before custom logic runs.

When a req accepts both LinkedIn import and file upload, don't assume import fixed your Experience. Import frequently merges titles. Upload your cleaned single-column export when upload is optional but allowed.

Knockout questions about sponsorship, clearance, or relocation often sit after the resume step. Finish the checklist through preview before you answer those gates so you don't repeat upload twice in one session.

Referral employees applying through SuccessFactors should still run paste order on the upload file. Referral flags help routing after parse succeeds. They don't fix merged employer rows when the PDF structure is broken.

Keep a checklist screenshot in your apply folder when a tenant limits re-uploads. You'll know exactly which row failed if support asks you to resubmit once on the same req.

Before/after: SuccessFactors parsing failures

Pair 1: merged employer and title

Before: ACME Corp Senior Analyst March 2021 to Present on one line with tab between company and title.
After: ACME Corp on line one. Senior Analyst on line two. March 2021 to Present on line three. Bullets follow.

Tabs look invisible in PDF but survive paste. Replace tabs with hard line breaks even when the visual spacing already looks fine on screen.

Pair 2: header contact dropped

Before: Phone and email only in PDF header icon row. Application phone field left blank.
After: Same header plus typed phone and email in SuccessFactors contact step. Preview shows both.

Pair 3: two-column layout scramble

Before: Skills sidebar left, Experience right. Notepad paste reads skills words before employer names.
After: Single column: contact, headline, Experience, Skills. Paste order matches reading order.

Pair 4: operations manager bullets merged

Before: Three jobs pasted into one text box as a single paragraph.
After: Three separate paste actions. Each block: employer, title, dates, three bullets max.

Pair 5: nurse employer block

Before: City Medical Staff RN 2021-Present with em dash between facility and title.
After: City Medical Center on line one. Staff RN on line two. June 2021 to Present on line three.

Pair 6: software engineer skills-first paste

Before: Skills section copied above Experience into manual history fields.
After: Experience pasted first with employer blocks intact. Skills entered in dedicated skills step only.

Pair 7: finance analyst degree line in Experience

Before: MBA 2020 typed under a job block with employer missing.
After: MBA moved to Education with May 2020. Experience holds only paid roles with separate employer rows.

Pair 8: retail manager seasonal rehire

Before: Returning associate note in cover letter only. Experience block year-only 2023 to 2024.
After: Headline notes returning seasonal associate. Experience: BigBox Retail, Floor Supervisor, October 2023 to January 2024; bullet one names POS from posting.

Pair 9: HR coordinator internal transfer

Before: Uploaded designed PDF while profile still held old merged rows from prior application.
After: Cleared old Experience rows in profile, pasted single-column blocks, preview showed eight separate jobs before submit.

Copy-paste SuccessFactors submit checklist

Copy-paste before final submit:

1. Notepad paste: employer, title, dates on separate lines
2. Phone and email typed in portal contact fields
3. Upload PDF matches manual dates exactly
4. Preview: one row per job, no merged title/company cell
5. Bullet text appears under correct employer row
6. No icon or text-box headers
7. Month Year dates, Present on current role
8. Save preview screenshot if re-upload is allowed once
9. Required application fields filled even when data repeats resume header
10. Letter uploaded only in cover letter slot, never resume slot

Cross-check how to prevent merged lines in SuccessFactors Experience when preview still collapses rows.

Walk the checklist top to bottom on a laptop, not phone, when upload allows desktop. Preview panes on mobile hide merged cells until you rotate or zoom. You'll catch merged title lines faster on a wide screen.

Save a plain-text backup of each employer block in a notes file as you paste into manual fields. When a session times out, you'll repaste in minutes instead of retyping from a scrambled PDF.

What weak SuccessFactors uploads share

Upload once and never open preview. Most fixes happen before final click.
Different dates in PDF vs manual fields. Background checks and parsers both notice.
Pasting entire resume into one text area. Forces merge every time.
Designed Canva PDF with text as images. Empty extractable text, pretty preview for humans only.
Assuming import from another ATS fixed mapping. Imports often flatten titles into one cell. Re-paste employer blocks manually when preview looks wrong.

Weak uploads also share the same fix path: Notepad paste first, preview second, submit third. Skip a step and you'll repeat the same merged row on the next req at the same employer.

Edge case: internal employee switching roles in the same SuccessFactors tenant. Profile may prefill. Still verify new req attachment parses if upload is required.

Edge case: agency recruiter submits on your behalf. Send them the single-column export and insist on preview screenshot before they click submit.

Skipping voluntary fields that duplicate resume header. Some divisions filter on city or work authorization before screen. Fill them.
Uploading cover letter PDF into resume field. Wrong slot, wrong extract. Use the letter upload step only.
Relying on mobile photo of a printed resume. OCR merges lines. Type or export digitally.

Edge case: multi-step application saved over several days. Re-open preview before final submit. Partial saves sometimes drop the last employer block.

This won't bypass knockout questions or work authorization gates. It stops parseable files from mapping like garbage.

Pre-submit scan and match

Before upload, run your file through the ATS checker with posting text. Fix merged-block warnings on the source export first.

When two reqs use the same tenant, score your job match on each posting before you remap fields. Stronger match first saves duplicate data entry.

Bring req ID, legal name spelling, and work authorization answers to the session before you upload. SuccessFactors timeouts drop partial saves. You'll re-map faster when those answers are ready in a notes file beside the plain-text employer blocks.

Submit once mapping is clean

This US ATS application checklist for SuccessFactors is really a paste-order and field-mapping test. Separate employer lines, retype contact data, preview rows, then submit. Most silent failures are merged experience blocks, not missing credentials.

Run the checklist once per req even when the employer feels familiar. Tenant configs change between divisions. A file that mapped clean last year can merge today if you added a sidebar template.

I've seen qualified analysts sit in limbo because phone stayed in the PDF header while the application field stayed blank. Two minutes of field entry fixed it. Run the copy-paste checklist once per req.

When the req asks for a letter, generate a cover letter in plain text that matches employer names on the mapped rows.

Screenshot preview when the tenant allows it before final submit. If mapping fails after one fix attempt, switch to manual field entry with saved plain-text blocks instead of re-uploading the same merged PDF three times.

Save the employer blocks that mapped clean as a plain-text snippet file on your machine. Next SuccessFactors apply at the same company starts from that snippet instead of from a designed template that merged again.

Frequently asked questions

Follow the req. When upload is allowed, use a single-column PDF or DOCX you already pasted into Notepad successfully. When the flow forces field-by-field entry, paste employer blocks one at a time and preview before next. Never upload a designed PDF while also typing different dates into manual fields.

Merged lines usually mean tabs, tables, or missing line breaks between employer, title, and dates. The parser reads one continuous string. Put employer on its own line, title on the next, Month Year dates on the third, then bullets. Run the paste-order test before upload.

Yes. SuccessFactors often drops header contact blocks from uploads and expects phone and email in application fields. Fill every required portal field even when the same data sits on page one of your PDF.

Use the application preview or profile review screen when the tenant shows it. Confirm employer names, titles, and dates landed in separate rows. If preview shows one long merged cell, fix line breaks in the source file and re-upload.

Paste-order and single-column rules overlap. SuccessFactors shows more merged experience lines when resumes use icon headers or sidebar contact columns. Workday fails more on table grids. Test the file you will submit in each portal separately.
