Cause 1: Two-column layout read right-to-left
Design templates split contact, Skills, and sometimes Education into a narrow left column while Experience fills the right. Parsers often read the full left column first, then the full right column, instead of row by row across the page.
How to tell: Paste your PDF into Notepad. If Skills or contact lines appear as a block before your first job title, or if your latest employer shows below your degree, you've got column-order scramble.

Cause 2: Tables, text boxes, and header/footer contact blocks
Invisible tables align dates cleanly in Word and design tools. Parsers read cell by cell. Text boxes for summaries and contact info often sit outside the main document stream entirely. Headers and footers repeat on every page but import once, sometimes as the only contact data the system keeps.
How to tell: Your Notepad paste shows job titles on one line, dates three lines lower, or merges two employers into one paragraph. LinkedIn URL appears twice. Summary text lands at the bottom of the file.

Cause 3: Graphics, icon skill bars, and non-standard bullets
Star ratings, progress bars, and Font Awesome icons look modern in preview. On export they become empty squares, stripped images, or garbage characters. Fancy bullet glyphs sometimes convert to question marks, which breaks line parsing for everything below.
How to tell: Notepad paste shows □□□ or ? where bullets should be. Skills section is empty in the parse preview while the PDF looks full. Section headings imported as body text because they were styled boxes, not Heading styles.

How to tell which cause is yours
Run this three-step diagnostic before you touch bullet wording:
- Export the same PDF you upload to employers. Paste into Notepad. Read top to bottom without scrolling back to the PDF.
- Count employer names. If you have three jobs but see five employer strings, you've got duplication from columns or tables.
- Upload the file to a parse check with a recent posting. If must-have keywords show zero matches while you see them on the PDF, layout broke before scoring.

Long CVs sometimes need tables for publication lists. For standard US corporate reqs, still lead page one with a one-column Experience block. Push dense tables to page two only when the posting expects CV length. Corporate Greenhouse reqs rarely do.

Stuffing keywords in white font. Some templates hide a keyword footer in tiny or white text. Parsers may read it. Recruiters who open the PDF see fraud. Don't.
Multiple font families and text sizes per section. Consistent 11-point Calibri or Arial parses more reliably than display fonts for headings. Style headings with bold and ALL CAPS, not decorative typefaces.
Saving as image PDF. If you can't select text in the PDF, the ATS can't read it either. Re-export as text-based PDF or DOCX.
Reusing the same template after one fix without re-pasting. Every export can re-break when you add a new section. Paste test after each edit, not only the first time.
Keyword stuffing in a text box while Experience stays generic. Fixing layout without fixing bullets still loses on the human skim. Template first, then bullet one rewrite per posting.
