The standard your file must clear: one vertical column, 11-point Calibri or Arial, section headers spelled Experience and Education, contact details in the body top, and Month Year dates that sit on their own line under each title.
Think in objects, not adjectives. A text-based PDF means you can highlight a sentence in Preview. A sidebar template means Skills might read before your latest employer. A header phone number means the application form stays blank while the recruiter assumes you didn't proofread.
Edge case: you're a contractor with twelve short gigs. Stack each client with Month Year ranges and keep titles consistent. Parsers handle frequent job changes better when every block uses the same three-line header pattern.
Edge case: you're returning after a gap. Dates still need honest Month Year lines. A summary line belongs in plain text under contact info, not inside a colored text box that exports as an image layer.
Edge case: you're applying from a phone and only have the PDF in email. Open it on a laptop, confirm text selects, and rebuild in Docs if it doesn't. Mobile viewers hide the parsing damage until Workday shows empty employer fields.

Before: Skills summary up top, employment history on page two with titles buried under a paragraph labeled Leadership Highlights.

Pair 5: Staff accountant (header contact in Word)
Before: Name centered in the Word header; phone in the footer; jobs listed with em dashes between title and company on one line.

Export that block to PDF from Word or Docs. Open the PDF, select all text, copy into Notepad. If the order matches what you see on screen, you're ready to upload.
Edge case: federal or clearance-heavy resumes
Before: Address block inside a bordered table on page one; job locations abbreviated in ways parsers read as countries.
After: City, ST only unless the posting demands full address. Spell out United States on location lines when you worked overseas; keep clearance level in a bullet, not a floating text box.
Edge case: recent graduate with projects instead of jobs
Before: Projects section formatted as a three-column gallery with hyperlinks only.
After: One column. Capstone Project under Experience with Month Year dates, plain URL text, and bullets that name stack and outcome.
I've screened Workday imports where the candidate's current employer never populated because a sidebar pushed Skills to the top. The human fix took thirty seconds. The applicant never got that screen because the file looked finished at upload.
What scrambled Workday uploads still share
Designer templates that paste wrong. The PDF renders beautifully. Notepad shows your oldest internship before your current role. That's read-order damage, not a missing keyword.
Contact info in headers and footers. Workday's empty phone field is often a Word header issue, not a typo. Move everything to the body once and re-export.
Tables for alignment. Even invisible tables split title and company across parser cells. Use line breaks instead.
Slash-only dates. 03/21 reads ambiguous next to 03/24. March 2021 to March 2024 is slower to type and faster to parse.
Second resume attachments. Uploading a pretty PDF plus a plain TXT backup confuses which file populates fields. Fix one file, upload once.
Chasing keywords before layout. Adding SQL twelve times does not repair a two-column read order. Layout first, posting phrases inside bullets second.
Fancy section names. My Path and Core Competencies sound personal. Workday maps unfamiliar headers to Miscellaneous, which recruiters rarely open. Stick to Experience, Education, and Skills unless the posting demands a license block.
Compressed margins to one page. Tiny type and tight tables save paper and cost parse accuracy. Eleven-point body type with normal margins on two pages beats a one-page mosaic the importer cannot split.

Confirm fields after export
After you rebuild a pair above, run the same PDF through a quick parse check with the job description pasted in. You're verifying employer lines and dates appear in Experience text, not whether a footer skill cloud matched.
When Workday shows a review screen, walk field by field: current title, last employer, end date, degree. One corrected upload beats three attachments and a prayer.
Run a free ATS check on the fixed file, then build your resume in a single-column template if you're starting from a portfolio export you cannot edit.
