Your landlord wants proof of income by Friday. HR says they'll "send something." What comes back is a three-line blurb with no salary, no signature, and a Gmail address. The leasing office rejects it. You're not fighting bad luck. You're fighting a generic letter that never matched what the reviewer asked for.

The same employer can produce three valid letters depending on who's reading them. A rental office scans for full-time status and a callback number. A mortgage processor matches base pay to your application. A consular officer wants duties spelled out and confirmation the job still exists when you travel. One vague template fails at least two of those checks.

Before you email HR, check your resume for free and line up title and dates with what payroll will confirm. If your resume says "Senior Analyst" and Workday says "Analyst II," fix the story now. Verifiers call back. Mismatches slow every packet.

Why the same employer letter fails three different reviewers

Each verifier is answering a different risk question. Your landlord asks, "Will this tenant still have a paycheck in six months?" Your lender asks, "Does stated income match payroll records?" A visa officer asks, "Is this a real job that continues while the applicant is abroad?"

HR defaults to the shortest legally allowed confirmation: name, title, dates, full-time or part-time. That's enough for some rental screens. It's often thin for underwriting and almost never enough for immigration packets that need duty descriptions and travel permission language.

Your job tonight isn't to educate HR on mortgage rules. It's to paste the field list from your landlord, lender, or consulate checklist into the request email so payroll prints the right version the first time.

Employment verification letter samples for rental, mortgage, and visa

Swap your details into the "after" lines. Keep tone factual. HR should not editorialize about your performance in a verification letter unless they're writing a separate recommendation.

Rental application: what the leasing office actually needs

Before: "To whom it may concern, Jane works here and is a good employee. She makes good money."
After: "Jane Doe is employed full-time as Marketing Coordinator since March 2022. Her current employment status is active with no planned termination. For verification, contact HR at (555) 123-4567 or [email protected]."

Landlords want status, tenure, and a phone number that reaches HR, not your manager's cell at midnight. Salary is optional unless the listing requires income at three times rent. Don't ask HR for pay if the application only asked for employment status.

Mortgage underwriting: base pay and continuity

Before: "John is a software engineer and earns a competitive package with bonus and equity."
After: "John Smith is employed full-time as Software Engineer since June 2020. Current base salary is $118,000 per year, paid biweekly. Employment is expected to continue. Overtime, bonus, and equity are not guaranteed and are excluded unless separately documented."

Underwriters match base salary to your application and VOE form. Vague "competitive package" language triggers callbacks. If HR won't state bonus income, say so plainly on the letter rather than letting the processor assume a number.

Visa and consular packets: duties and continued employment

Before: "Maria is employed with us in a professional capacity."
After: "Maria Garcia is employed full-time as Financial Analyst since January 2021. Primary duties include variance reporting, budget forecasting for three business units, and monthly board-ready summaries in Excel and NetSuite. Her annual salary is $92,000. The company approves her travel for [purpose] from [date] to [date] and confirms her position will remain open upon return."

Consular posts differ on format. Check your appointment checklist before you send HR a draft. HR request email: stop the "what do you need?" loop

Before: "Hey, I need a letter for my apartment. ASAP. Thanks!"

Specific beats urgent. HR teams batch these. A complete field list moves you to the print queue. "ASAP" without a deadline lands at the bottom.

New job, old employer: which letter counts

Before: Submitting a letter from a job you left last month because the new HR department is slow.
After: Ask the reviewer which employer they need. Mortgages often want two years of history, so you may need a letter from your prior employer plus your current one. Start both requests the same day.

Managers sometimes offer to "just write something." If your company requires HR on letterhead, accept the manager's willingness but route the text through payroll. An unauthorized letter gets rejected as fast as a missing salary line.

Requesting a letter from HR without the back-and-forth

Step 1: Pull the exact field list from your landlord application, lender VOE form, or consulate checklist. Highlight mandatory lines.

Step 2: Check whether your employer uses a portal (Workday, ADP, The Work Number). Some rentals only need a verifier phone number. If the portal satisfies the form, you might not need a custom letter at all.

Fields that get your letter sent back

Missing verifier contact on letterhead. A personal Yahoo address and no company phone is an automatic re-request at most leasing offices. HR's main line or a dedicated verification mailbox belongs on the page.

Salary when the application didn't ask for it. Some HR teams won't disclose pay without a signed release. If you added salary to a rental packet unnecessarily, you may have triggered legal review that delays a simple status letter.

Title drift between letter, resume, and LinkedIn. I've seen mortgage files stall because the employee's resume said "Product Manager" and HR's letter said "Product Owner II." The underwriter assumes fraud until someone explains payroll taxonomy. Match strings before you submit.

Unsigned PDFs. A typed name without signature or digital sign-off fails many lender portals. Ask HR to use their standard signed format.

Before: One paragraph, no dates, no status, manager signature on plain paper.
